AI Tools Training

AI tools like ChatGPT, Claude, Gemini, Midjourney, and others are large language models (LLMs) or image generators trained on massive datasets. They generate responses by predicting what comes next based on patterns in training data -- they don't "know" things the way a search engine does. What they're genuinely good at: drafting text, summarizing long documents, explaining complex topics, writing and debugging code, brainstorming ideas, translating languages, generating images from descriptions. What they get wrong: recent events (training data has a cutoff), specific facts that need to be right (they hallucinate plausibly-sounding errors), anything requiring real-time data (stock prices, weather, live news). The most important mindset shift: AI tools are not search engines. Asking "what is the capital of France" works, but you're wasting the capability. The power is in tasks that would take you a long time to do manually -- writing, research synthesis, code generation, creative work.

The AI tool market moves fast. As of mid-2024, the clearest breakdown is: ChatGPT (OpenAI): The most widely known. GPT-4 is excellent at writing, coding, reasoning. Has a large plugin ecosystem. Best for general-purpose use. Claude (Anthropic): Particularly strong at long documents, nuanced writing, and following complex instructions. Handles very long inputs well. Good choice for summarizing books, contracts, or research papers. Gemini (Google): Integrated with Google Workspace (Docs, Gmail, Drive). Best choice if you live in Google's ecosystem and want AI inside your existing tools. Midjourney / DALL-E / Adobe Firefly: Image generation. Midjourney produces the highest quality images but requires Discord. DALL-E is built into ChatGPT Plus. Firefly is Adobe's and stays inside Creative Cloud. Copilot (Microsoft): Built into Windows 11 and Microsoft 365. If you use Office daily, this is the path of least resistance. Rule of thumb: start with one. Get good at it. Then add others if there's a specific gap.

Go to the tool's website directly -- do not search for it and click an ad. Fake AI tool sites exist. The real URLs: chat.openai.com (ChatGPT), claude.ai (Claude), gemini.google.com (Gemini). Create an account with your email. Verify your email. On most platforms, you'll land on the free tier automatically. Free tier limitations you'll hit quickly: - ChatGPT free: uses GPT-3.5, which is meaningfully less capable than GPT-4 - Claude free: usage limits per day -- you'll hit them if you're using it for work - Midjourney free: very limited -- basically a trial Paid tiers ($20/mo for most): faster models, longer context windows (how much text you can send at once), more requests per hour, additional features like image generation or web browsing. If you're evaluating for work use: pay for one month of the premium tier before deciding if AI tools help you. Free tiers aren't representative of what the tools actually do.

Prompting is the skill. The tool is just the tool. Bad prompt: "Write me an email." → You'll get something generic and useless. Good prompt: "Write a professional follow-up email to a client who hasn't responded in two weeks about a proposal for website redesign. The tone should be warm but direct. Keep it under 100 words. End with a specific question to prompt a response." The elements of a good prompt: 1. Context -- who you are, who the audience is, what the situation is 2. Task -- exactly what you want produced 3. Format -- length, tone, structure, style 4. Constraints -- what to avoid, what must be included You don't need all four every time, but more specificity = better output. The AI will always do what you asked -- the problem is usually that you didn't ask for what you actually wanted.

Don't learn every feature. Learn the three things that will save you the most time, then expand. 1. Drafting: Give the AI your bullet points and have it write the first draft. Emails, reports, proposals, social posts, cover letters. The draft won't be perfect -- it's not supposed to be. Edit the draft in a quarter of the time it would take to write from scratch. 2. Summarizing: Paste in a long document, article, contract, or email thread. Ask for a summary in bullet points, or ask specific questions about it ("What are the payment terms?" "What risks does this contract create for me?"). This is where long-context models like Claude excel. 3. Explaining: Ask it to explain something you don't understand as if you're learning it for the first time, or explain it using analogies from your field. "Explain machine learning using baseball statistics as the analogy." The AI will usually produce a better explanation than a Google search because it adapts to your framing. Pick one real task in each category. Do it with the AI. Evaluate the output. Adjust.

The mistake most people make: they treat AI tools as a separate thing they have to remember to go use. Effective users integrate AI into their existing workflow. In practice: - Pin the AI tab in your browser next to email and calendar - If you use Google Workspace: set up Gemini in Gmail and Docs so AI is one click away while you're working - If you use Microsoft 365: enable Copilot so it appears inside Word and Outlook - Use Claude's Projects or ChatGPT's Custom Instructions to tell the AI who you are, what you do, and how you prefer responses -- so you don't have to re-explain every session The goal is to reduce the activation energy to use it. If you have to navigate to a separate site, log in, and think about how to phrase your question -- you'll use it sometimes. If it's one click from wherever you already are -- you'll use it constantly.

Before using AI tools with sensitive information, read the data policy. ChatGPT (OpenAI): By default, conversations may be used to train models. You can opt out in Settings → Data Controls → Improve the model for everyone (toggle off). The Team and Enterprise plans have stricter data handling. Claude (Anthropic): Free and Pro plans: conversations may be reviewed. Team and Enterprise plans: conversations are not used for training. Microsoft Copilot (enterprise): Your data stays within your organization's Microsoft tenant. This is why many companies use Copilot for 365 over consumer tools. The rule: don't paste confidential client information, personal data, proprietary business information, or anything you wouldn't put in an email into consumer AI tools unless you've verified the data handling policy. For business use cases involving sensitive data: use enterprise-tier tools with data processing agreements, or run a local model (Ollama + Llama or similar) where nothing leaves your machine.
