The 3-2-1 rule is the universal standard for data protection. It sounds simple. Most people violate it entirely. 3 copies of your data: Your original working copy (on your computer) + two separate backups. Not two locations on the same drive. Not a drive and a cloud sync. Three actual independent copies. 2 different media types: Don't back up your hard drive to another hard drive stored inside the same computer. Different physical media: internal SSD + external drive + cloud. If one type of media has a systemic failure (firmware bug, manufacturing defect), you're not wiped out. 1 copy offsite: If your house burns, floods, or is burglarized, and all your backups are in that house, the 3-2 part of 3-2-1 was irrelevant. Cloud backup counts as offsite. A drive at a relative's house counts. A drive in your office counts (unless you also take your laptop there and both get stolen together). Your goal: -- Copy 1: Your working computer -- Copy 2: An external drive at home (runs automatically) -- Copy 3: Cloud backup (Backblaze -- NOT OneDrive sync) This guide will walk you through setting up all three. It takes about 2--3 hours to configure and then runs automatically forever.

Before backing anything up, figure out what you actually need to protect. Most people have no idea where their important files live. Open File Explorer (Windows) or Finder (Mac) and check every one of these locations: -- Desktop (yes, people store critical files on the desktop) -- Documents folder -- Downloads folder (temporary files you meant to move but never did) -- Pictures and Videos folders -- Any folders on the root of C:\ or D:\ that you created manually -- Your email (is it IMAP/cloud, or local POP3 files?) -- Browser bookmarks and saved passwords (export these separately) -- Application data: game saves (often in AppData\Roaming), creative project files (Photoshop, Premiere), accounting software databases What you do NOT need to back up: -- Applications and programs (they reinstall from the internet) -- Windows itself (a clean reinstall is often better than restoring a bloated OS) -- Temporary files, caches, browser caches Add up the total size of your important data. Right-click your user folder → Properties → wait for it to calculate. This number determines your drive size and how long the first backup will take. Most people have 50--300GB of actual important data. If you're a photographer or videographer, you may have multiple terabytes.

This is your local automatic backup to an external drive. Set it up once; it runs in the background every hour. Windows 11 -- Windows Backup: Settings → System → Storage → Advanced Storage Settings → Backup Options. Connect your external drive first. Under 'Back up using File History,' select your external drive. Set 'Back up my files' to Every Hour. Set 'Keep my backups' to Until space is needed (or choose a timeframe if you want version history). Click 'More options' to confirm which folders are included. By default: Desktop, Documents, Downloads, Music, Pictures, Videos, and OneDrive folder. Add any other folders you use. Windows 10 -- File History: Control Panel → File History → select your external drive → Turn on. Then click 'Advanced Settings' to set the backup frequency (every hour recommended) and how long to keep versions (recommend 'Until space is needed'). Mac -- Time Machine: System Settings → General → Time Machine → Add Backup Disk → select your external drive. Time Machine backs up every hour automatically and keeps hourly backups for 24 hours, daily backups for a month, and weekly backups until the drive fills up. It's excellent. Turn it on. After setup: let the first backup run completely before doing anything else. For large datasets (100GB+), the first backup can take several hours. Subsequent backups are incremental and fast (5--15 minutes).

OneDrive, Dropbox, and Google Drive are sync services. They are not backup. The distinction matters enormously: Sync: mirrors whatever is on your computer. Delete a file → it's deleted everywhere. Ransomware encrypts files → encrypted versions sync to the cloud. Backup: keeps independent copies with version history. Delete a file → the backup keeps it for 30 days. Ransomware encrypts everything → you restore from yesterday's clean version. Backblaze Personal Backup ($99/year or $9/month): Go to backblaze.com, create an account, download the installer. Run it, sign in, and it immediately starts backing up everything -- not just selected folders, but your entire computer. Unlimited storage. Automatic. Continuous. What Backblaze does that OneDrive doesn't: -- Keeps 1-year version history (restore any version of any file up to 1 year ago) -- Backs up external drives connected to your computer (optional setting) -- Notifies you if backup stops running -- $99/year is less than a dinner out, and it has recovered data for millions of people Setup: install → sign in → Backblaze runs in the background. The initial backup of a typical machine (100--500GB) takes several days on a normal home internet connection. That's normal -- it runs at low priority so it doesn't affect your internet speed during the day. After first backup completes: go to backblaze.com → sign in → Restore → browse your files. Confirm things are there before you trust it.

Your external drive is your fast, local recovery option. Cloud backup is offsite protection; your external drive is 'restore 500 files in 5 minutes instead of downloading them overnight.' Format the drive correctly: Windows: plug in the drive → open File Explorer → right-click the drive → Format → NTFS → Quick Format → Start. Give it a name like 'Backup - [Your Name].' Mac: open Disk Utility → select the drive → Erase → APFS (for Mac-only use) or exFAT (if you want it to work on both Mac and Windows). Organize the backup structure: If you're running File History or Time Machine, the software manages the structure. Don't manually move or rename folders inside the backup -- it confuses the software. If you're doing a manual backup copy (simpler but requires discipline): create a top-level folder named 'Backup [Date]' and copy your Documents, Desktop, Pictures, and any other key folders into it. Date-stamp each backup run. Exclude what doesn't matter: Don't back up your entire Applications or Program Files folder -- these reinstall from the internet. Back up DATA: documents, photos, music, project files, game saves (often in AppData\Roaming), and browser bookmarks. Keep the drive connected or on a schedule: The backup only runs when the drive is connected. For desktop computers: leave it plugged in permanently. For laptops: dock it when you're home at your desk. Consider a USB hub at your desk so plugging in is one click.

If your main drive dies completely, you need a way to boot the computer and access recovery tools. You cannot create a recovery drive after the drive has failed. Do it now. Windows Recovery Drive: Search for 'Recovery Drive' in the Start menu. Insert a USB flash drive (16GB minimum, 32GB recommended). Check 'Back up system files to the recovery drive.' Click Next and follow the prompts. This takes 30--60 minutes. The recovery drive lets you boot the computer, access troubleshooting tools, reinstall Windows, and restore from a system image -- even when the internal drive is completely dead. Mac Recovery: Macs have built-in Internet Recovery (hold Command+Option+R at startup). This works even with a dead internal drive as long as you have internet. However, creating a bootable macOS installer on a USB drive (using Apple's instructions for createinstallmedia) gives you a faster, offline recovery option. Store the recovery drive with your backup drive -- not inside the laptop bag. Label it clearly: 'Recovery Drive - Windows 11' or similar. Why this matters: without a bootable recovery option, a dead drive means a trip to a repair shop or a very frustrating evening downloading recovery tools on another computer. With one, you're back in business in under an hour.

This is the step everyone skips. Don't skip it. A backup you haven't tested is a hypothesis. Testing it takes 5 minutes and is the only way to know it's actually working. Test File History / Windows Backup: Right-click any file in your Documents folder → Properties → Previous Versions tab. You should see one or more historical versions listed with timestamps. Select one and click 'Restore.' Confirm the file restores correctly. Alternatively: open File Explorer → navigate into your backup drive → browse the file history folder structure → find a file and open it directly. If you can open it, it's restorable. Test Time Machine (Mac): Open Time Machine from the menu bar → Enter Time Machine → navigate to a folder → use the timeline on the right to go back to yesterday → select a file → click Restore. Confirm it appears on your desktop. Test Backblaze cloud: Log into backblaze.com → Restore → browse your file list → select a small folder (like Desktop) → Request Restore → choose Zip Download. Download the zip, open it, verify the files are intact. If any test fails: Don't panic, but do investigate immediately. Check that the backup software is actually running (look for its icon in the taskbar or menu bar). Check that the drive has enough free space. Check for error messages in the software. Fix what's broken before the real emergency arrives. Repeat this test once every 3--6 months. Put it in your calendar.

The best backup strategy is one that runs automatically, notifies you if something breaks, and requires no manual effort after initial setup. Automate everything: -- File History / Time Machine: already automatic once configured -- hourly backups when the drive is connected. -- Backblaze: always running in the background, no action required. -- Manual backups: don't rely on remembering. If you're doing manual backups to an external drive, set a recurring calendar reminder monthly. Set up notifications: -- Backblaze: Settings → Notification Preferences → email if backup hasn't run in X days. Set this to 3 days. -- Windows Backup: check periodically -- Settings → System → Storage → Backup Options -- and look for a last-run timestamp and any error flags. -- Time Machine: the menu bar icon shows the last backup time. An exclamation mark means it failed. Check it when you see it. Monthly 2-minute check: -- Open Backblaze → confirm last backup timestamp is recent (within 24 hours ideally) -- Glance at File History / Time Machine last run time -- Confirm external drive is connected (or has been recently) The goal is to never think about this again -- because it's running, you've tested it, and you'll get an email if something breaks. One final thing: if you ever sell or give away a computer, wipe it first. Settings → System → Recovery → Reset this PC → Remove Everything → Cloud Download (re-installs clean Windows). And verify your backup has all your data before you do.
