New Phone Setup

This is the only step that matters if everything else goes wrong. Do it first. iPhone backup options: -- iCloud: Settings → [Your Name] → iCloud → iCloud Backup → Back Up Now. Wait for it to complete. Check the "Last Backup" timestamp confirms it just ran. -- Mac (if you have one): plug in via USB, open Finder, select your phone, choose "Back up all of the data on your iPhone to this Mac." Check "Encrypt local backup" to include passwords and Health data. -- Windows: use iTunes (or Apple Devices app on Windows 11). Same process -- plug in, select device, Back Up Now. Android backup options: -- Google One: Settings → Google → Backup → Back up now. This covers contacts, apps, call history, SMS, and device settings. -- Samsung Smart Switch: open Smart Switch on your old phone, tap Backup. This creates a local or cloud backup that includes more Samsung-specific data than Google Backup alone. -- Photos: verify Google Photos is backed up (open app, check for "Back up is on" status). If you have Samsung Gallery, enable Samsung Cloud backup separately. Verify the backup actually ran and shows a recent timestamp. Do not trust "it backs up automatically" -- check the date.

The method you choose determines how painless the setup process is. Pick the right one for your situation. iPhone to iPhone (same platform): Use Quick Start. Keep old and new iPhones next to each other. When you turn on the new phone, it will detect the old one and offer to set it up via Quick Start. This transfers almost everything wirelessly. If your old phone is on iOS 12.4+, it can do a direct phone-to-phone migration that transfers even data not in iCloud. This is the best method. Android to Android (Samsung): Install Samsung Smart Switch on both phones. Connect via USB cable or WiFi. The cable method is faster and more reliable for large transfers. Smart Switch copies apps, settings, contacts, texts, call logs, and most content. Android to Android (non-Samsung): Google Backup handles most of it automatically during setup. When you sign into your Google account on the new phone during first-run setup, it will offer to restore from your most recent backup. Accept this. iPhone to Android or Android to iPhone: You cannot do a full system transfer across platforms. Use Google Photos or iCloud photos to handle your photo library. Contacts can be exported as a .vcf file. Apps need to be reinstalled manually. Texts from iMessage do not transfer to Android natively (use an app like iSMS2droid if you need them). Budget extra time for this scenario.

Once you start a data transfer -- whether via Quick Start, Smart Switch, or a cloud restore -- let it run. What to watch for during transfer: -- Keep both phones plugged into chargers. A dead phone mid-transfer corrupts data. -- Keep both phones on the same WiFi network. Switching networks kills wireless transfers. -- Do not use either phone while transfer is running. Background activity can slow or interrupt the process. -- The transfer progress bar lies. It will sit at 5% for 20 minutes and then jump to 90%. This is normal. Time expectations by data size: -- Under 20GB: 20--40 minutes -- 20--60GB: 45--90 minutes -- 60GB+: 90 minutes to several hours (use a cable, not WiFi) If transfer fails or stalls: Check that both phones are on the same WiFi. Ensure neither phone's screen lock has engaged (some phones interrupt transfer on screen timeout). If it stalls completely for more than 15 minutes with no progress, cancel and retry via cable instead of WiFi.

Before you get excited about the new phone, verify the data that matters most actually made it. Photos: Open your photo app and scroll back to 6 months ago, 1 year ago, and 3 years ago. Verify the photos are there. If you see gaps, your backup was incomplete -- go back to the old phone and check what happened. Contacts: Open your contacts app. Search for 5--6 specific people you would actually call. Verify the numbers are correct. Also check that contacts have photos and notes if they had them on the old phone. Texts: If text history matters to you, open the Messages app and verify key conversations are present. Note: on Android, SMS messages transfer with Smart Switch but may not restore via Google Backup depending on your settings. On iPhone, they transfer with iCloud backup but NOT with Quick Start if you chose to restore from iCloud after setup. Apps: On iPhone, apps restore but re-download in the background -- this can take hours on a slow connection. You can see which ones are still downloading by the progress circle on the app icon. Apps that require a subscription or separate login will need those credentials re-entered.

Most accounts re-link themselves during setup, but some require manual attention. Email: -- Gmail on iPhone: download the Gmail app or add via Settings → Mail → Accounts → Add Account → Google. Use your full Gmail address, not an alias. -- iCloud Mail on Android: Settings → Accounts → Add account → Personal (IMAP). Server: imap.mail.me.com, port 993. SMTP server: smtp.mail.me.com, port 587. You may need an app-specific password from appleid.apple.com if you have two-factor enabled. -- Work email: if your workplace uses Microsoft 365 (Outlook), use the Outlook app on either platform. It handles Exchange accounts better than the built-in mail apps. Other accounts to re-enter: -- Any app that did not restore its login (banking apps, streaming services, healthcare apps) -- Apps that require biometric re-authorization on a new device (many banking apps treat a new device as a new login) -- Work VPN or MDM-managed apps (your IT department may need to re-enroll the new device)

Biometrics are worth doing right the first time. A poorly enrolled fingerprint means 50% failure rates when your hands are damp or at an angle. Face ID (iPhone): Settings → Face ID & Passcode → Set Up Face ID. Hold the phone at normal reading distance, rotate your head slowly in a full circle as prompted. Do it twice -- the second scan captures edge angles. After setup, go back and set up an "Alternate Appearance" (your second scan slot) for yourself with glasses if you wear them, or with a hat on. This dramatically improves recognition in varying conditions. Fingerprint (Android, various locations by model): Settings → Biometrics → Fingerprint. Enroll your primary finger. Then enroll the same finger 2--3 more times in the remaining slots, each time with a slightly different orientation (straight, angled left, angled right). Multiple enrollments of the same finger from different angles is more reliable than enrolling multiple different fingers. Passcode: Use a 6-digit PIN minimum, not 4. Avoid dates of birth, phone numbers, or anything guessable. If your phone offers an alphanumeric passcode option, use it for significantly better security. Screen lock timer: Set to 1 minute or 2 minutes. "Never" or "5 minutes" means anyone who picks up your unlocked phone has unrestricted access.

Apple Pay, Google Pay, and Samsung Pay do NOT transfer automatically with your data backup. Each card needs to be re-verified on the new device because payment networks treat a new device as a new token request. Apple Pay: Wallet app → tap the + icon → follow prompts to add each card. Your bank will verify via text message or app push notification. Have your bank's app installed or your phone accessible to receive the code. Google Pay (Google Wallet): Open Google Wallet → Tap + → Add to Wallet. Same verification process -- each card must be re-authorized individually. If you had transit cards set up, those also need re-adding. Samsung Pay: If you switched from Samsung to Samsung, Smart Switch transfers the payment tokens but the cards still need re-verification in the Samsung Wallet app before they are active. Transit cards (NYC MTA, Chicago Ventra, Clipper, etc.): These are device-specific. Your balance typically transfers but needs to be re-linked via the transit authority's app. Check the specific process for your transit system -- some have an "express transit card" setup that requires manual re-enrollment. After all payment methods are re-added, make a small test transaction with each card before you rely on them.

Now and only now -- after you have confirmed that everything works on the new phone for several days -- wipe the old device. iPhone wipe: Settings → General → Transfer or Reset iPhone → Erase All Content and Settings. This removes your Apple ID association (important -- if you skip this, the phone is Activation Locked to your Apple ID and useless to anyone you give or sell it to). It also disables iMessage association with that device, which matters if you are switching to Android. Android wipe: Settings → General Management (Samsung) or System (stock Android) → Reset → Factory Data Reset. Remove your Google account association before or during the reset -- this removes Factory Reset Protection. If you do not do this, the next person to set up the phone will be asked for your Google credentials. After wiping, verify: -- iPhone: go to appleid.apple.com → Devices, confirm the old phone no longer appears under your account -- Android: the phone should show the initial setup screen with no account associations If you plan to sell or give away the old phone, a factory reset is legally and practically sufficient for personal data removal on modern phones (iOS and Android both use full-disk encryption by default).
